Describe the task

Say what you do with the documents, in your own words. Add one example if you have it: a form email, a quote, an export. Point the app at your Excel file and your folder.

Before anything runs, you see the row exactly as it would be written, the file path, the reply draft, and every doubt. Ask for changes in plain words until it is right.

Each new request is read on your PC, written to your workbook and filed. A reply is drafted for you to read and send yourself.

Community hall bookings

The booking form on your website emails each request. FreeTheAdmin reads the name, date, hall and number of guests, adds a row to your tracker, saves the request as a PDF in a shared folder, and drafts a “received” reply to the citizen.

The form also asks for a “Purpose”, which your tracker has no column for. Leave it out, or add a column? You decide, once.

Architects and small builders

Supplier quotes, checked before comparing

Quotes arrive as PDFs, often one per trade or lot. FreeTheAdmin reads each line into a comparison sheet and checks that the subtotal, the VAT and the total agree. A quote that does not add up stops and waits for you.

Checked: subtotal + VAT = total. Each line also goes into the sheet, next to the others for the same lot.

Privacy

Your documents stay on your computer

Reading happens on your PC. Nothing is uploaded so the app can read a form, a quote or an export.

What the assistant receives, to build a route

Building a route is the only thing that calls our assistant. It gets:

your description, in your own words;
the names of the fields and columns in your example and workbook, not the values in them;
a blank form, or a copy where each value is replaced by a placeholder such as « name » or 12.34, only if you confirm it. You see that copy first, every time.

What we keep

No documents, no descriptions and no generated routes are stored on our side.
We keep your licence, your credit balance and the number of tokens each call used, for billing and limits.
A scanned PDF with no text layer cannot be masked reliably. In that case we ask you for a blank form or a test document filled with invented values, and we say so plainly.

Safety

It never acts behind your back

Never sendsReplies are drafts in your mail program. You read them and send them yourself.
Never overwritesA file with the same name is kept, and the new one gets a number. A filled cell is never written over.
Waits if the file is busyIf someone has your workbook open, the app refuses to write and tells you why.
Can be undoneEvery write is backed up and checked. Deleting an entry takes back exactly what the app wrote, if nobody changed it since.

Windows and Mac

Built for the computer you already have

The same app runs on Windows and on Mac, in English and French. On Windows it installs for your own user account, with no administrator rights needed. Your shared drives can hold the workbook and the folder of PDFs.

No graphics card and no AI model are needed to use it. An on-device AI or a local model can help with messy documents, if your computer has one; it is never required.

FAQ

Questions people ask first

Does it work with Outlook?

Classic Outlook on Windows and Mail on Mac: yes. The app reads the folder you choose and creates reply drafts. New Outlook: the app reads the emails you save, or move with an Outlook rule, into a watched folder. Gmail and other IMAP accounts are planned for a later version. Whatever the route, nothing is sent.

Can it write to an Excel file on a network drive?

Yes. It writes to the .xlsx file wherever it lives, including a shared drive. Before each write it checks that nobody has the file open, backs it up, adds only the new row, and checks the file afterwards. If someone has it open, it refuses and tells you.

Do I need an AI model on my PC?

No. Most forms and quotes are read by their structure: labels, columns, fields. If your computer has a built-in AI, or you run Ollama, it can help with messier documents. Without either, you fill the fields yourself in the standard form, with the document beside it.

What does a route cost me?

Running a route costs nothing. Your $60 covers five routes. A sixth costs 10 credits ($10), and each refinement beyond the ones included costs 1 credit ($1). Credits never expire, and a route that fails its checks costs nothing.

Does my data go to the cloud?

Real documents never do. The only call to our assistant happens when a route is built or changed, and it sees only what you confirm: your description, the field names and a blank or placeholder copy. See “Your documents stay on your computer”, above.

What if it gets something wrong?

You see every route on your own example before you switch it on. Doubts stop the row and wait for you. Every write can be undone, as long as the file has not changed since.
